Terms of Registration 

Registration Terms – Statement Liability Waiver 

The planners and sponsors of this event claim no liability for the acts of any suppliers at or to this meeting, or for the safety of any attendee while traveling to or from this event. The planners and sponsors of this event shall not be liable for any delays or failure in performance or interruption of services resulting directly or indirectly from any cause or circumstance beyond the reasonable control of the organization, including but not limited to, acts of God, acts of public enemy, war, accidents, fires, electrical failures, strikes, labor disputes, postal delays, explosions, or governmental order or regulations.

The planners and sponsors reserve the right to cancel this event without penalty. Attendees who purchase nonrefundable airline tickets do so at their own risk. The total amount of any liability of the planners and sponsors will be limited to a refund of the attendance fee. Recognizing the nature of receptions and the potential for alcohol abuse at conferences, all Datatel and Datatel Users’ Group sponsored events will also offer nonalcoholic drinks. No alcohol will be served to anyone under the age of 21, and attendees may be asked to produce identification to confirm age. Conference participants are responsible for their own well-being and Datatel, the Datatel Users’ Group, and the planners or sponsors will not be held accountable for any events or occurrences resulting from excessive drinking, recklessness, or negligence on the part of any conference participant(s). Furthermore, you agree not to allow any other individual to participate in your place, either at the conference, during the registration process, or for any other conference-related activity, including acceptance of these terms of registration.

Under the terms of registration, the organizers of this event and attendees of this function agree to indemnify and hold harmless each other from and against all claims, actions or causes of action, liabilities arising out of or resulting from any act taken or committed by the attendees or organizers of this function or any third party except for the willful misconduct or gross negligence of the other party.

Registration Features

Your registration fee covers all conference track sessions, poster sessions, RUG meetings, and participation in the Expo Hall. Also included are breakfasts and refreshment breaks, Monday and Tuesday lunches, Sunday and Tuesday evening entertainment, and keynote and closing presentations. These events are not deductible from the registration fee. Companion passes may be purchased for a guest to access conference meals and evening social activities.

Registration Deadlines

Early Bird registration ends February 20, 2012—your registration form and payment MUST be received by the DUG collection office by that date. Regular registration continues until March 24, 2012, and on-site registration is also available.

On-site Registration

Attendees are asked to present photo identification at registration to collect their registration materials. Attendees may only collect their own registration packets. This procedure is in place for your safety, to protect registration materials from getting lost, and to allow the DUG organization to monitor accurate attendance. 

 NOTE: Registration materials will not be provided without photo identification.  

Cancellation Fee and Last Day to Cancel

  • Cancellation notices must be received in writing by MRA Services. You may fax your cancellation notice to (425) 420-1690 or email attendees.info@mra-services.com
  • Registration cancellations received on or before Monday, February 20, 2012, are eligible for a 50% refund less a $50 processing fee.
  • Cancellations after Monday, February 20, 2012 and conference no-shows are NOT eligible for a refund. 

Substitutions

Substitutions are permitted. Select the option to register as a substitute in step 4 of the registration process. You will need to obtain the registration confirmation number of the person for whom you are substituting. Your registration will be submitted and, upon approval of the original registrant, your substitute status will be complete. If your substitution request is not approved by the original registrant, you will have an option to pay or cancel your request.

Purchase Order Policy

Purchase orders no longer are accepted. Payment must be made by credit card or check.  

Conference Badges

Conference badges should be worn at all times during conference hours. This allows for uncomplicated access to all conference-related events.

Photographs

Any photograph taken at the DUG Conference by the DUG organization may be used in conference collateral — in printed documents or on DUG websites. Participants are reminded of this condition of registration here and your consent to use these photos for the purpose of sharing and promoting the conference is appreciated. Your signature on the conference registration form acknowledges acceptance of these terms and provisions of registration.

Smoking

The Gaylord National is a nonsmoking facility.

Children

Children under the age of 18 are not permitted access to DUG Conference sessions, meals, or social events.

Conference Etiquette

As a courtesy to all DUG Conference presenters and attendees, and to ensure an enjoyable DUG Conference experience for everyone, please keep the following in mind:

Refrain from the use of pagers or cell phones during presentations, and take conversations unrelated to the conference program outside session rooms.

If at all possible, please moderate or restrain from wearing scented products while attending the Conference, especially during sessions. This greatly enhances the ability of individuals who suffer from chemical sensitivities, such as MCS, to fully participate in this valuable educational forum.
